Task management is one of those that we've had in mind for a while, and it opens up a completely new angle for how you use our platform to build and scale your real estate team.

We get feedback from a lot of our teams—some of the top teams in the industry—who were using project management tools such as Trello or Monday.com to manage their real estate workflows.

Some call it the "other side" of transaction management—outside of document storage and compliance, they're the things that need to happen for a transaction to be successful. Often, they're the items that help the team go above and beyond, or create more transactions leveraging their existing ones.

In essence, it's project management.

But there's a problem. When your data sits in one place, and your project workflows sit in another, you've created yet another place for your team to enter data.

That's why Sisu tackled full project and task management from inside our platform.

So that your tasks and your data can all sit in one place.

Get An Overview of Transaction Status

Let's start high level, and then dig into the details.

Sisu has always had transaction statuses. These are key benchmarks that happen with any real estate transaction:

  • Pipeline
  • Appt set
  • Appt met
  • Signed agency
  • Under contract
  • Closed

Stages are different and are meant to be used more granularly—usually between the time a listing is signed and a contract closes.

Transaction stages are completely customizable and allow you to track more detailed steps that a contract takes. These stages usually take place between the active listing/buyer through closing statuses of a transaction

For example, one of your stages might be "awaiting inspection". Another might be "contingencies met". It really depends on your market, and that's why we made it customizable.

The transaction stages board gives you a Kanban style view of where all of your transactions are so that you can stay on top of them at a high level.

Task Lists and Templates for Standardizing Processes

If you dig in a little deeper on the screenshot above, you'll notice a little box with a fraction.

Clicking on this box opens up the task management for that transaction. This is where you're able to manage everything that needs to happen for this transaction to be successful.

We encourage our users not just to think about what has to happen with a transaction, but rather, everything that could—or, ideally, would—happen with a transaction.

If you build it into this template, you'll be able to manage it—so create your ideal scenario!

Here are some examples:

  • Social media posts to create momentum and possibly more interested clients.
  • Notifications out to partner vendors that will help them earn more business from your clients (which will help you earn more co-marketing from them).
  • Specific data entry, file uploads, or updates that need to be made inside of Sisu (or in other platforms) when certain milestones are hit.
  • Communication to the client to create an optimal experience.
  • Referral and review gathering post-closing.

Most of the teams using Sisu are top producing teams because they've figured out a formula that works.

Sisu is about making that formula happen every single time.

It's not that much different from what you do with your sales -  allowing you to set goals for anything about your business and pace yourself to achieve.

Project management is about creating the templates and ingredients that breed success with your clients—and giving you the tools to guide your team to keep on track.

As a manager, you can see all the tasks that are overdue, due today, and due in the next 7 days. As a user, you can see everything assigned to you so that you know exactly what you need to accomplish in a day.

What Gets Documented Gets Repeated

We like to say that anything that gets documented gets repeated.

It might not always get repeated—but one things for sure: anything that is not documented, will not be repeated.

If you build out the perfect processes and workflows inside of Sisu, you'll drastically increase your chances of correct processes being followed.

If you have the right culture of accountability and guidance, you'll have the tools you need to make sure that the right processes are followed. Every time.

It's the same concept applied to sales: figure out what the ingredients are (lead measures) that produce your outputs. This is usually a mix of conversations, phone time, appointments, social media posts, etc.

Task and project management is about the ingredients that create happy clients in the transaction who refer more ready-to-buy clients into your pipeline.
